Which functions does the Automation Boost (AOS) offer?
Below are the most important functions of the Automation Boost:
-
Review and analysis of the clients configured in the Finmatics interface. For example, a lack of automation may be due to poorly maintained master data.
-
Customized configurations such as the extraction and creation of business partners within a specific number range, the definition of specific general ledger accounts that should be extracted, or the automatic completion of the booking text.
-
Switching the profit and loss statement to creditor or supplier. A prerequisite here is the availability of creditor or supplier information in the booking text history.
-
Switching from the "Belegzentrale" to the "Automatisierungszentrale"
-
Quality assurance through the Shared Service Center.
What are the prerequisites?
The Automation Boost is available to clients who use DATEV, as well as company and firm clients who use BMD and RZL, work in the Finmatics front-end, and have purchased a Silver or Gold support package.
Pre-settings for DATEV
First, administer your clients. Afterward, import the personal/general ledger accounts and training data:
Pre-settings for BMD
Upload the documents either as a single document directly via the Finmatics portal or alternatively as individual documents via the BMD Databox.
How do I request the Automation Boost?
After completing the pre-settings, send an email to automation@finmatics.com with the following subject: "Client Number - Client Name - Document Types" that need to be automated. If necessary, include instructions for special bookings or the most important accounting information. This also applies to any anomalies from the AI's past suggestions if the client has been processed with Finmatics before.
The documents will be reviewed by our team during the analysis. Account assignment possibilities will be optimized by the AI, and Training Center tasks will be completed if necessary. Additionally, the maximum degree of automation possible will be evaluated. Subsequently, you will receive feedback, and the documents can be assigned and booked. This is followed by the export to the ERP system.
In which cases is the Shared Service Center utilized?
The Shared Service Centre is involved in the following situations:
-
Poor scan quality
-
Collective accounts based on the initial letter
-
Creation of new creditors or suppliers according to client-specific logic
-
Content split bookings for a large number of documents
When will I notice the effects of the Automation Boost?
Generally, the effects become noticeable upon the upload of the next month's invoices..
If you are using BMD and wish to feel the effects in the month of the request, you can set the automatic batch for fetching documents from Finmatics to inactive in BMD via Tools > Administration > Stapelverarbeitung > geplante Ausführung. Please note that this will result in the documents for all clients having to be manually retrieved in BMD Vorerfassung.
How long does it take to process my request?
You generally receive feedback on your request within three to four days.
