The technical setup has been completed and you have access to the RZL FIBU/EA Document Processing module (this requires the RZL BOARD), RZL FIBU Next, and the paid module "Finmatics Connect for RZL".

After you have made the settings in RZL, working with Finmatics will be discussed in a personal conversation with our team.
1. Settings in RZL
1.a Entering Finmatics Access Data in RZL
The access data you received from us must first be stored in the RZL Board. Click on "Stamm" without selecting a client and enter the email address and password under "Einstellungen Finmatics". Further information can be found in the following article:
1.b Activating Clients and processes
In RZL, you can now activate Finmatics for your clients and specify the document types for each process. To activate a client, select them and open their client master data. Under Belegverarbeitung - Finmatics, select 'Finmatics aktivieren'.
1.c Exporting Training Data from RZL to Finmatics
In the client master data in the RZL Board, you will find the function "Finmatics initial trainieren" under STAMM - Belegverarbeitung - Finmatics. With this function, you can directly upload the chart of accounts for the latest fiscal year, including general ledger accounts and customer/vendor accounts, as well as the posting data for the current and previous fiscal years to Finmatics.

2.a Special Settings for Clients and Automations
If you have clients that are tax-exempt, want to add or remove certain fields during pre-entry, or desire special settings for the automation of the posting text, the following Help Center articles will assist you:

2.b Adjusting processes
The creation of new processes takes place exclusively in RZL. When you click on a process, you have the option to configure the display name of the process. This name is visible to clients when uploading the documents. A system-generated email address is automatically created for each document type and is immediately functional. Anything sent to this address with a PDF or image attachment (e.g., in jpeg, tiff, etc. format) is assigned to the respective client and document circle and uploaded there. The documents are read out mechanically and generate a proposed posting.
2.c Activating Cost Centers
You can enable cost centers as an additional feature. Finmatics can automatically predict cost centers alongside account numbers, and these predictions improve over time as you confirm them. Cost center configuration can be applied either for the entire firm or individually for specific clients.

2.d User Creation and Management
You can invite additional users in both the Users screen and the Clients Screen. They can have access to the entire firm or only certain clients, allowing both your employees and your clients to scan, sort, and staple documents directly in Finmatics. Instructions on how to create and manage users can be found under the following links:
2.e Configuring Notifications for Users
You can assign a responsible user per client, who will receive a notification as soon as documents are ready for processing or have been exported. Instructions for this can be found here:
2.f Configuring General Automations
In the Settings View, you have the option to configure Finmatics automations yourself. Here you can make settings for page separation, document processing, or the creation of master data, for example. More information can be found in our Help Center article:
3. Transferring Documents to Finmatics
You can transfer the documents directly from the Client Portal or the RZL Board in RZL to Finmatics. Alternatively, all transfer options from Finmatics are available, which you can find in the following article:
