How can I process bank transactions (account statements) with Finmatics?

In this article, you will learn how bank transactions (account statements) can be processed in Finmatics and what other functionalities are available.

How do I transfer bank statements to Finmatics?

Bank statements can be transferred via web upload, web scan or e-mail. Direct upload to Finmatics is possible in every screen with an upload function. You can find further information in How can I transfer documents to Finmatics?. When uploading bank statements to Finmatics, select ‘Bank’ as the process. The file types that can be processed include scanned bank statements and bank statements in PDF format.

What default settings do I need to make in Finmatics?

Create the process 

Open the client view and select the ‘Processes’ tab. Now click on ‘+Add’.

Add information 

Now select the company code ‘Bank’ or ‘Profit determination 4/3er bank’ in the basic information.

Complete the remaining fields. Use a 4-digit booking category for BMD and optionally assign a name for the bank.

If you want to create several banks for one client, make sure that they are labelled differently to avoid confusion. 

Make sure that the bank information is fully entered This is necessary for a smooth import, especially when using DATEV. 

What settings do I need to make in DATEV? 

To ensure that the data can be successfully exported from Finmatics to DATEV, read the following instructions from point 2.3 and make the appropriate settings in DATEV. 

Where can I find my uploaded bank transactions?

Open the ‘Bank transactions’ tab in the main menu. You can also access the ‘Bank transactions’ tab by clicking on the bank statement or bank statement batch in the transfers screen. Now use the drop-down menu to select the client for which you want to display bank transactions.

You can then filter the view according to exported and non-exported bank statements.

On the left-hand side of the screen, you will see the standard fields ‘Transaction Date’, ‘Gross Amount’ and ‘Payment Reference’. These are the fields that are read by Finmatics. On the right-hand side you will see the image of the account statement.

Edit line entries

In the ‘Bank transactions’ tab, you can check the data read out and add to it if necessary. To add or adjust data, click in the respective field and change the entry.

Three-point menu 

You can use the three-dot menu to save changes you have made, confirm transactions and delete them. If required, a new line can also be added to record further transactions. 

Action bar

In addition to editing the fields, there are a number of other options available to you. Select at least one entry to display the action bar at the top right. You will find the following icons from left to right:

  • Hide PDF: By default, the image of the bank statement is displayed in the view on the right. You can hide the image of the bank statement by clicking on the eye symbol
  • Download bank transactions: This downloads the selected bank transactions for BMD and RZL in a CSV file and for DATEV as an ASCII file and can then be imported into the ERP system. The CSV file corresponds to the ‘George’ format and there is an import template for this in most BMD versions. If no template is available in your system, this must be created once. If you have any questions, you can find more detailed information in the documentation for your ERP system. Bank transactions can also be downloaded in Excel format
  • Delete bank transactions: Use this to delete unneeded transactions from the system
  • Confirm bank transactions: By confirming the bank statement, the bank statement is set to ‘Complete’ status
  • Save bank transactions: Click on Save to save changes made in the fields

If a bank statement is not read out completely by Finmatics, you can report this to our support team at support@finmatics.com. Our support team has the option of training a customised model for you. This function is available to customers with active support packages (Silver/Gold).

Show additional columns

In addition to the three columns displayed by default, you have the option of displaying a number of additional columns. To do this, select the cogwheel to display the menu for selecting the columns.
