How do I use the menu on the left side of the Finmatics web portal?

This article explains the menu items of the web portal and their functions.

After logging in, you will find the logo at the top left, which can be customised with the law firm logo. Depending on which user role has been selected for the user, the menu bar may look different.

The following menu items may be available:

To Do 

This screen is your "home page" and contains all the invoices that need to be checked for accounting purposes. With the search function it is possible to search for clients and processes. In addition, various filter functions are available. You can find more information in How do I use the To Do screen?.

Workflow 

In the workflow-screen, you can see all invoices that must be approved before they can be exported. If you have set up an invoice approval Workflow, it will also appear here. You can find more information in the following articles:


Transfers 

In this screen you will find all invoices grouped by creation date. With the search function it is possible to search for invoices. In addition, various filter functions are available.

Do not hide the "Batch" tab in the table view. If you need help with a specific invoice, please send the relevant invoice batch ID to our support team at support@finmatics.com

Invoices

Here you will find all uploaded invoices as well as an overview of the processing status. With the search function it is possible to search for clients. In addition, various filter functions are available. The processing status indicates the following: 

  • Red: Mandatory fields could not be read or do not match the master data and must therefore be filled in or corrected
  • Yellow: Finmatics shows warnings that need to be checked manually, e.g. duplicates found, VAT invalid in VIES , invoice date is too far in the past, etc.
  • Green: The invoice has been successfully processed and confirmed

By default, yellow and green marked invoices can be exported. Red ones must be edited before exporting.

Training 

In the training-screen, you have the option of explicitly training the software. For more information, see What can I do in the training - screen?.

Companies

In the companies-screen, you can manage your companies information and personalise the design of the user interface of the mobile app as well as the Finmatics web portal for your users. You can find more information in How do I manage my company's information in Finmatics?.

Clients

In the clients-screen you have an overview of all clients that have been assigned to the respective logged-in user. With the search function it is possible to search for the clients. Various filter functions are also available. In How do I use the clients-screen? you can find all the tabs explained.

Users

In "Users"  you have an overview of all users who have been added to Finmatics. With the search function it is possible to search for users. In addition, various filter functions are available. Under Status (4) you can see whether the invitation to Finmatics is still pending or whether the respective user has already logged in to Finmatics. The permissions area shows you the permissions of the respective user.

Trash

In this screen you will find all deleted invoices. With the search function it is possible to search for deleted invoices. Various filter functions are also available.
